When to use Quick Sends, Campaigns and Funnels

Once you have created customized emails and added contacts to your Voodoo account, your next step is to start sending campaigns.  Voodoo Business Builder accounts offer a choice of how to send campaigns.  In this QuickTip we will review which ones are best for the scenarios you face.  

Voodoo QuickTip #173 - When to use Quick Sends, Campaigns and Funnels

Quick Send Quick Send: This is a great tool to reach new contacts and build your contact lists every day. Use this when you want to reach out quickly to one person or a small group and you want to add them to a Contact List at the same time. 

Send Email Send Email: Lets you send a single-stage personalized campaign (email template) to any group with a few simple clicks. You can choose automated notifications for when your emails get opened and videos are viewed, plus auto-response emails to follow-up for you.  From the Send Email page, you can also launch the Campaign Wizard to be guided step-by-step through the process.

Funnels & Forms Funnels & Forms: Here's where you'll find the real magic of Voodoo for automated and multi-stage outreach. This area is full of features for power users, allowing you to create drip marketing campaigns, capture forms and automated triggers.

You can configure each feature to meet your needs in many ways.  Here are some examples of how to use each type of campaign: 

  • To send a one-off email (to one or two people) that you just met at a networking event, use Quick Send
  • To send a one-time campaign like an end of the month promotion (to one contact list, one time), use Send Campaign (once and done).
  • To send a recurring campaign that reminds customers to register for an event using the same email template, use Send Email with Auto-Scheduler (same email template/sent at certain intervals). The auto scheduler will look for the assigned list and new contacts added since the last send will get the next email. 
  • To run a perpetual campaign (where you add new contacts to the list over time) you should set up a Funnel and set wait time to “0” - knowing that anytime a contact is added they will get the email (this is a “once and done” option). 
  • To send recurring messages like expiration notices, set up a Funnel and configure the funnel set-up to trigger off of expiration dates or any dated custom field (not wait time or calendar dates).

A Guide to Voodoo Automated Action Alerts for Sales Reps

One of the most powerful features of Voodoo is how it notifies Sales Reps about prospect and customer interest so they can follow up with hot leads quickly.

How fast you connect with interested leads is a key to your sales success. In fact, the Lead Response Management Study shows that responding to web-generated leads within 5 minutes increases contact rates by 900%!  

Companies using the Voodoo Viral Marketing system have numerous options on how to broadcast campaigns. In many cases, the Marketing team sends personalized eVideo campaigns on behalf of Sales reps like you.  These campaigns are personalized so they appear to be sent from a specific Sales rep (you), but they're actually sent by a Marketing team member using Voodoo. When a campaign gets launched on your behalf, it’s important for you to be ready for incoming lead notifications.

Lead notifications (also known as Automated Action Alerts) gives you an automated way to know which prospects or customers are showing interest in a campaign right NOW.

Depending on the content of the campaign and how Marketing chose to set it up, there are three types of Automated Action Alerts that notify you in real-time each time a recipient:

  1. Opens your email — used mostly on campaigns to very small groups
  2. Views the video — used on campaigns of any size, and an excellent indicator of real interest from a person who is now better informed about your product or service
  3. Clicks a trackable link — usually to download a PDF brochure or take a survey, etc. Another good indicator of genuine interest. 

 

If any or all of these options were enabled in the campaign setup, you'll receive a real-time Action Alert telling you who took action and what action they took. Here's what they look like:

You can imagine the power of this info...  Now you know immediately when someone opens, watches or clicks and is ripe for a follow up email or phone call.  You know exactly who they are, including their email address and other contact info.  You can reach out within minutes of their response to your campaign - right when your company and offer are fresh on their mind.

Video Viewers and Trackable Link Clickers are leads now showing interest in your product and/or service. For most campaigns, the faster you follow up, the more likely you are to have a substantive conversation with a receptive audience. 

What you can do to prepare: All Voodoo Automate Action Alerts are sent from support@voodooviral.com. It's a great idea to add this email address to your safe sender list so your notifications don't get trapped in junk or spam. See our post on Adding Voodoo to Safe Sender List for more information.

Voodoo Automated Action Alerts contain the exact information you need to follow up, based on the specific data your Marketing team originally imported for each contact. These lead notifications are like finding needles in the haystack. They often help you schedule appointments and load up your sales pipeline for much greater success over time.

Keep in mind that no prospect or customer likes to be pounced on after interacting with an eVideo campaign. When you follow up with your leads, we suggest a subtle approach, not showing them that you KNOW they intereacted with your campaign, but instead, gently opening the door, like this:

"Hi, [NAME]. Did you have a chance to check out the information I sent about [TOPIC]?
I thought it would be relevant to you."

Usually, your customer or prospect will respond by saying something like, "wow...that's weird, I just watched it!" Which lets you follow up by saying:

That's great! What did you think? Any questions I can answer?"

The idea is to get a conversation started, then leverage your skills as a trusted advisor to provide guidance and insight...and ultimately, to make a sale to someone who becomes a long-term customer. Good luck and happy selling!

Voodoo Announces New Built-in Image Editing Functionality

We've rolled out another powerful new feature—image editing functionality within Voodoo. You can now upload and instantly edit your images without leaving the Voodoo interface. Crop, resize and add text...even add effects and frames. 

 

This QuickTip explains how to use the new Image Editor to edit images you'll embed in your email templates and the photo used in your Digital Business Card.

Editing an Image in your Image Library 

1.  Upload your image to the Image Library

2. Click the pencil icon to edit the image. Note:  When you edit an image and save the changes, you are updating the existing image. To keep the original image, make a copy (using the copy icon) first, then make edits to the copy.

3.  From the Edit File Info window click the Edit photo button.

4.  The Photo Editor will open and you will have access to many image options. Make your edits and then click Apply and then Save

Editing an Image from an Email Template

1.  To edit an image already embedded in an email template, simply right-click on the image (control-click on a Mac) and select Image Properties.  

2.  From the Image Properties window select Browse Server.

3.  Find the Image in the list and click the pencil icon to edit the image. Note:  When you edit an image and save the changes, you are updating the existing image. To keep the original image, make a copy (using the copy icon) first, then make edits to the copy.

4.  Make your edits to the image and click Apply and then Save

Uploading and editing your Digital Business Card Photo:

1.  Go to Personal Settings in the Top Toolbar.

2.  Click on the Digital Biz Card tab. 

3.  From this screen you can edit the text in your Digital Business Card, upload a new photo and edit your photo.

4. When making changes to your Digital Business Card photo, it's important to note that in order for the image to be displayed properly in your video frame, we recommend a size of 135:160 pixels. To make this easy for you we have added a crop preset called DBC Photo (4:5) to the Crop toolbar. Just click the Crop button on the toolbar.

5.  To resize you image click the 
DBC Photo (4:5) button in the toolbar. This will size your photo appropriately.

4.  Click Apply and Save.  Once you made your changes be sure to also click the Update button from the Digital Business Card screen.

Resend to Unopens with One Click

Many marketers send out a single email broadcast to a contact list and hope for the best. But according to BtoB Online, the average open rate for marketing emails is 19.7%. What about the 80+% that don't open your email after the first send?  Try resending the same campaign to those who haven't opened yet (we call them "Unopens"). You'll probably be surprised how many new Opens you get!

Voodoo now lets you send a duplicate email to your Unopens with just one click—all WITHOUT creating a new email, list or campaign. It only takes a minute.

We recommend users visit My Reports (eVideo users visit Tracking Statistics) to check their campaign performance about 24-48 hours after the initial send. Want to send a second email to recipients who haven't yet opened the email?  Just follow these steps: 

1.  Access reports for your campaign: 

Business Builder users access My Reports to view the Campaign Report. 

eVideo Launcher users click View Tracking Statistics and select the campaign.

2.  Within the Campaign Statistics tab you can view the basic metrics associated with this campaign. Click on the Unopens metric to drill down and see the Unopens.

3.  From the Unopens detail screen, click the green Resend to Unopened button towards the bottom:

4.  You will then see a confirmation message asking if you are sure you want to Resend to Unopened. Click OK. 


4.  It's that easy!

5.  Business Builders can also access the resend feature from the Send Email page.  Just go to Send Email and you will see a list of all your campaigns:

6.  Then, just click the Resend link next to the campaign you wish to resend to the unopens.   

Wait 24-48 hours after Resending to Unopens then log back in to Voodoo to check your open rate. The new opens will be included in the Campaign Report making your stats cumulative in one easy report:

Easily Preview Videos in Your Custom Branded Video Frame

Whether you're an eVideo Launcher or Voodoo Business Builder user, we've just made it easier for you to preview videos in your custom-branded and personalized video frame and share them anywhere you want. (Voodoo Business Builder users can preview the Digital Business Card feature, too.)  

You simply Preview each video, then copy the URL to share your branded and personalized videos "outside" Voodoo. You can create text and graphic links in Websites, Landing Pages, Social Media & Email Signatures.

Instructions for Voodoo Business Builder Users

1.  Login to your Voodoo account


2.  Access your Video Libary using the My Videos Icon

3.  Click on the green arrow for the video you wish to preview or share. You can view the video link with a standard Personalized Frame or complete with your Digital Business Card.

Voodoo has now made it easier for eVideo Launcher users to preview their videos in their custom branded video frame

You can preview each of the emails and now also the videos that are associated with the specific campaign by clicking on the email & green play arrow button icons. 

Previewing the videos also allows for copying your unique branded and personalized video page URLs for "outside" Voodoo eLauncher use, creating text and graphic links in Websites, Landing Pages, Social Media & Email Signatures.

Just log into your eVideo Launcher accounts and start a new campaign.  In Step 1 where you choose your campaign you will now see green play arrow icons that you can click to preview your video.  Once the video opens you can easily copy the URL and use it anyway you choose.

Mass Email Throttling. What it is and Why it Matters to your Email Delivery Rates

Like all commercial email providers, Voodoo's servers utilize an outgoing Throttling Rate to slow the sending process. 

This is a built-in anti-spam measure, to prevent Voodoo and our clients from being perceived as email spammers by receiving servers—and potentially getting blacklisted as a result.There are notable benefits of a slower throttling rate.

1) Higher Deliverability—Slower broadcast speeds almost always result in higher deliverability rates and fewer problems with receiving ISPs' and companies' spam filters and firewalls.

2) Manageable Customer Service—Another benefit involves your ability to provide improved customer service and response. A slower-paced email broadcast helps you control how quickly people respond to a given offer, so your staff is not overwhelmed by the need for immediate personal follow - up. For cases like this, Voodoo allows clients to dial back the send rate all the way down to 10 emails per hour—a trickle by commercial email standards. With email throttling, the best choice is always the slowest choice you are comfortable with.

 

Voodoo Default Send Rates

Voodoo clients have a maximum send rate of 600 emails per hour, so calculate your delivery times accordingly. For example, at a send rate of 600 emails per hour, a broadcast to 1800 contacts will take just over 3 hours to complete. Any Voodoo client can apply for approval and installation of a doubled throttling rate for an additional fee. Approval is at Voodoo’s sole discretion, and based on certified assurances that the client adheres to strict anti-spam emailing policies and utilizes only "clean" double-opt-in lists in their Voodoo accounts.
